Terms of service
The terms of service are the agreement between your company and Flow CRM when you use it. Here they are in plain English, with no small print.
- Who this agreement is between
- These terms are the agreement between your company and Flow CRM when you use flowcrm.com and the Flow CRM app. The person who creates the account accepts them for the company and for everyone they invite to it. If you do not agree with them, do not use Flow CRM.
- Your account
- The owner account is responsible for the company, its team members and everything they do in Flow CRM. Keep your password to yourself, turn on two-factor authentication or a passkey, and email us if you think someone else has got in. Each company's records are kept apart from every other company's, and you may only work in your own.
- The free trial
- Every new company gets 30 days free, with every feature and no card needed. When the trial ends you choose a plan or stop using it. Nothing is charged unless you add a card and pick a plan. If you do nothing, the account simply closes at the end of the trial and your records follow the schedule on the privacy page.
- What it costs
- Flow CRM is priced per technician. The first technician costs more than each one after it, office staff are free, and every feature is included. The current prices are on the pricing page and apply from the day you pick a plan. You pay monthly or annually, and you can add or drop technician seats at any time. If a price changes we email you at least 30 days ahead, and the new price only starts at your next renewal.
- Paying, cancelling and refunds
- Your subscription is billed by card through Stripe at the start of each period. Cancel at any time from the billing page; your access continues to the end of the period you have paid for, and nothing more is charged. If you are not happy within 30 days of your first paid invoice, email us and we refund it in full. After that, we do not refund part of a period you have already started. If a card payment fails we email you so you can update the card.
- Your records are yours
- Your customers, equipment, jobs, quotes, invoices, agreements and photos belong to your company, not to us. We only use them to run Flow CRM for you, as the privacy page describes. You can ask for a full CSV export at any time. We never sell or share your customer records with anyone.
- Texts, emails and review requests you send
- Flow CRM sends texts and emails to your customers on your behalf: quotes, reminders, on-the-way messages, invoices and review requests. You are the sender. You must have the customer's permission to text them, and the law in your state and under the TCPA puts that responsibility on you. Flow CRM records the consent you collect and handles STOP replies automatically, but it cannot check whether permission was really given.
- Card payments from your customers
- Customers pay invoices and deposits through your own Stripe account, under your agreement with Stripe. The money goes to you, and Stripe's fees are between you and Stripe. A refund, chargeback or dispute is settled between you, your customer and Stripe; Flow CRM shows you what happened but is not a party to it.
- QuickBooks and other services you connect
- If you connect QuickBooks Online, Flow CRM sends customers, invoices and payments to your own QuickBooks company. Check what lands there with your bookkeeper. Flow CRM does not give tax, legal or accounting advice, and a quote, invoice or agreement it produces is your document, with your prices and your wording.
- What you may not do
- Do not use Flow CRM to send texts or emails to people who have not asked for them, to store records you have no right to hold, or to reach another company's account. Do not copy the software, resell access to it, or try to overload or break into it. We close accounts that do these things.
- What we promise, and what we do not
- We work to keep Flow CRM running every day of the busy season and we keep backups so a mistake can be undone. Software is not perfect, though. Flow CRM is provided as it is, and we cannot promise it will never be down or never have a bug. If something we do causes you a loss, our responsibility is limited to the amount your company has paid us in the twelve months before it happened. We are not responsible for lost profit, lost jobs or a customer who did not pay.
- Changes to Flow CRM and to these terms
- We add features and change how things work, and the user guide is kept current with it. If we change these terms in a way that matters to you, we email the owner account at least 30 days before the change takes effect. Using Flow CRM after that date means you accept the new terms.
- Ending the agreement
- You can leave at any time by cancelling from the billing page. We can close an account that breaks these terms or stops paying, and we give notice first unless the account is harming other people. When an account closes, your records stay readable for 90 days and are then deleted, as the privacy page describes. Ask and we export them for you before then.
These terms go together with the privacy page, which says what we store and how we protect it. Questions about any of this: email support@flowcrm.com. Last updated October 22, 2026.
